Using Requests to Capture User Feedback and Suggestions

A Request is a submission request to consider extending or enhancing the functionality of a system in a specific manner. Requests are assets that, when approved, can be used to generate new stories, defects, portfolio items, or issues. Requests can also be used to map directly to higher-level requirements in an external requirements document when those external requirements are associated with multiple backlog items on which the development team is working.

Who Uses Requests

Product Owners capture feature ideas and enhancement requests from stakeholders and customers, maintaining a repository of potential future work.

Team Members log ideas during retrospectives, track technical improvement suggestions, and document enhancement opportunities discovered during development.

Scrum Masters facilitate request management processes, ensuring valuable feedback is captured and appropriately prioritized for future planning cycles.

Business Analysts gather requirements from stakeholders, document feature requests, and maintain relationships between requests and implemented work items.

Permission Requirement

To view requests: Members need Read access to the project.

To create and manage requests: Members need Edit access to the project. Creating requests, editing request details, and closing requests all require Edit permissions.

How can I use a Request?

On the Requests page, you can create and maintain a grid-formatted repository separate from your backlog where you can:

  • Log input for new features
  • Raise awareness about potential defects
  • Capture ideas for future enhancements
  • Track the progress of the related downstream items linked to the request

This grid provides a flexible, editable listing of all the available requests contained in the selected project and all of its subprojects. You can enter new requests and filter, sort, and update existing requests, then categorize and order them relative to one another.

Accessing Requests

To access Requests from the main menu, click the hamburger menu Hamburger icon > select Product > Requests.

Troubleshooting

Why can't I see the Requests page in the Product menu?

Requests may not be available in your current project. Check with your administrator to confirm that requests are enabled for your project or workspace. You may also need Read access to the project to view the Requests page.

Why can't I create a new request?

Creating requests requires Edit access to the project. Contact your project administrator to request Edit permissions if you need to create and manage requests.

Can I generate multiple stories from a single request?

Yes. Each request can generate multiple system assets. When generating an asset, use the Save & New option to create additional related items from the same request while maintaining the relationship between the request and all generated assets.

How do I track what stories or items were created from a request?

Open the request details page and click Show Relationships at the bottom. The relationships section displays all portfolio items, stories, defects, and issues generated from that request, along with their current status and assignment information.
