Share OKRs

Share objectives and key results with specific individuals to enable controlled collaboration and visibility. The Shared Access With field grants specific colleagues access to view and edit OKRs, regardless of overall visibility settings (Private, Publicly Readable, Publicly Editable).

Who Shares OKRs​

Sharing enables controlled collaboration:

  • OKR Owners share objectives with collaborators who need editing access but don't require full public visibility.
  • Product Owners share product objectives with cross-functional stakeholders like design, engineering, or marketing for aligned planning.
  • Portfolio Managers share portfolio objectives with executive sponsors or finance teams for review and feedback without public exposure.
  • Team Leads share team objectives with mentors, coaches, or managers for guidance while keeping goals private from broader organization.

Permission Requirement​

To share OKRs: Only the OKR owner can add users to the Shared Access With field. Administrators can also modify shared access for any OKR.

To edit shared OKRs: Users added to Shared Access With gain full editing rights, including modifying fields, adding assets, linking objectives, and deleting the OKR.

To remove shared access: Only the OKR owner or administrators can remove users from the Shared Access With field.

Granular Access Control​

  • View Access: For Publicly Readable OKRs, all users can view the OKR, but only the owner and shared users can edit
  • Edit Access: Users added to Shared Access With gain full editing rights, including modifying fields, adding assets, linking objectives, commenting on key results, copying, duplicating, and deleting the OKR
  • Private OKR Sharing: Private OKRs (normally visible only to admins and the owner) can be shared with specific individuals, granting them full editing access

Share an OKR​

  1. Click the hamburger menu Hamburger icon > OKRs.
  2. Select the OKR to share.
  3. In the Shared Access With field, enter the username and select the user.

The selected user is added as a shared owner and receives an email notification.

Email Notifications​

Shared users receive notifications for:

  • Initial sharing: When added to the Shared Access With field
  • Comments: When comments are added to the objective
  • Key result updates: When key results are created or updated and progress changes

Troubleshooting​

Why can't I find a user to add to Shared Access With?

You can only share with users who have Agility Pro or Premium license and OKR access. Verify the username is correct and the user has the required license.

Do shared users receive notifications when I share an OKR?

Yes. Shared users receive immediate email notification when added to the Shared Access With field. They also receive notifications for comments and key result updates.

Can shared users add more people to Shared Access With?

No. Only the original OKR owner and administrators can modify the Shared Access With field. Shared users have full editing rights to the OKR content but cannot manage sharing permissions.

What happens if I remove someone from Shared Access With?

The user immediately loses editing access to the OKR. If the OKR is Private, they can no longer view it. If it is Publicly Readable or Publicly Editable, they retain view or edit access based on the visibility setting.
