Rollup Category Status Values
With Rollup Categories (formerly called Reporting Categories), you can assign portfolio items, backlog items, defects, and testsets to a fixed set of categories that are used for reporting purposes.
Reports, grids, and progress bars honor these settings when considering how items display. For example, progress bars now consider status when determining which items are active and which ones are complete. The same is true for Project Burndown, Workitem Trend, Velocity and other estimate-based reports. In grids, "Completed" items are highlighted so you can easily see them.
To manage rollup categories, your Admin Privileges role must be set to "System Administrator".
Notes:
- On the details page of a backlog item, defect, or testset, the Date Completed field displays the date the item transitions into a Rollup Category status of Completed. This date is then calculated in status-driven reports and progress bars.
- Rollup Categories do not determine if an item is visible on grids and boards. This is determined by the AssetState of the item. You must close portfolio items and workitems to remove them from your Boards and Grids.
Status Values
As described in the table below, closed portfolio items and workitems are considered complete regardless of the status value. The columns are the possible state values and the rows are the rollup categories.

Accessing Rollup Categories
- Backlog Item Status values are available from > Admin > List Types > Backlog.
- Portfolio Item Status values are available from > Admin > List Types > Portfolio Item.
Assigning a Rollup Category
For Backlog Items, Defects, and TestSets
- Click the hamburger menu > Admin > List Types > Backlog.
- Scroll to the Backlog Status.
- For each status value you want to assign, select a value in the Rollup Category column.
- Click Save at the top of the grid.
For Portfolio Items
- Click the hamburger menu > Admin > List Types > Portfolio Item.
- Scroll to the Portfolio Item Status section.
- For each status value you want to assign, select a value in the Rollup Category column.
- Click Save at the top of the grid.
Viewing "Completed" Workitems in a Backlog Grid
In Backlog grids, backlog items that are assigned to a "Completed" reporting category are highlighted with green and white shading so you can visually distinguish them from other items.
Viewing Reports by Status
The following reports do not show items based on reporting categories:
- Cumulative Flow by Status Report
- Portfolio Item Cumulative Flow by Status Report
The term "Reporting Categories" was changed to "Rollup Categories" in the Spring 2017 Release (17.1). "Reporting Categories" is still used in older versions of the application.
