Project Workspaces
Using Project Workspaces, you can customize the user interface for each asset by choosing the fields and list values that display for each project or group of projects. A project workspace includes settings for all configurable fields of all project assets.
Project workspaces can be created for any project. The root or system project always has a project workspace that cannot be deleted. If a project does not define its own project workspace, it follows the nearest workspace defined in its parent project hierarchy. Creating a project workspace affects the project and all child projects that do not define their own workspaces.
Planning Level Workspace
Agility provides an enhanced interface for managing project workspaces through Planning Level Workspace Assets. This redesigned experience includes improved navigation, search capabilities, and streamlined workspace management.
To access Planning Level Workspace:
Click the hamburger menu > Admin > Asset Customization > Planning Level Workspace Assets
Project Tree Usability Features
The Project Tree workspace selector includes enhanced usability features to simplify selecting and managing multiple workspaces:
Select All Workspaces
Use the Select all workspaces checkbox at the top of the Project Tree to quickly select all workspaces in your project hierarchy. This is useful when you need to apply configuration changes across your entire organization or multiple projects.
Always-Visible Checkboxes
Workspace selection checkboxes are always visible next to projects that contain workspaces, helping you quickly identify which projects have workspaces and making selection easier.
Search Projects
A search field at the top of the Project Tree lets you filter projects by name. Type any part of a project name to narrow the tree view and locate specific projects quickly, especially useful in large hierarchies with hundreds of nested planning levels.
These improvements make workspace configuration tasks faster and more reliable across complex project hierarchies.
Global Assets
Global assets are not project-specific and include Members, Projects, Sprints or Iterations, and Change Sets. These assets can be customized to change the fields that display. Changes made to global assets apply across the entire system.
To access Global Assets:
Click the hamburger menu > Admin > Asset Customization > Global Assets
Understanding Color Coding and Symbols
The Project Workspace Assets interface uses color coding and symbols to indicate field states and changes. Understanding these visual indicators helps you manage workspace configurations effectively.
Color Coding
The interface uses specific colors to communicate different states:
| Color | Meaning | Description |
|---|---|---|
| Orange/Red | Changed/Modified | Fields highlighted in orange or red indicate values that have been changed but not yet saved. This is not an error indicator—it signals unsaved modifications. Click Save to apply these changes permanently. |
| Green | Enabled/Active | Fields or checkboxes highlighted in green indicate the setting is enabled or actively selected across all selected workspaces. |
| Gray | Mixed State | Gray highlighting indicates a mixed or partially selected state. This occurs when multiple workspaces are selected and the setting is enabled in some but not all of them. |
| No Color | Default/Unchanged | Fields with no color highlighting are in their default state or have not been modified. |
:::important Color Coding Does Not Indicate Errors Orange or red highlighting on changed fields does not mean there is an error or that the change is invalid. It simply indicates the field has been modified and requires saving. This differs from error states, which display specific error messages. :::
Symbols and Indicators
The interface uses symbols to show the selection state of fields and options:

| Checkmark (✓) | Enabled/Selected | The field or option is enabled for the selected workspace(s). When a single workspace is selected, a checkmark means the setting is enabled for that workspace. |
| Dash (–) | Mixed/Partial State | Appears when multiple workspaces are selected and the setting is enabled in some workspaces but not others. This indicates inconsistent settings across the selection. |
| Blank (empty) | Disabled/Not Selected | The field or option is not enabled for the selected workspace(s). |
Combined States
When managing multiple workspaces, you may encounter combinations of colors and symbols:

|---|---|
| Green Checkmark | Setting is enabled across all selected workspaces and matches the saved state. |
| Orange/Red Checkmark | Setting has been changed to enabled but not yet saved. |
| Gray Dash | Multiple workspaces selected with mixed settings (some enabled, some disabled). |
| Orange/Red Dash | Mixed state that has been modified but not yet saved. |
| Gray Checkmark/Blank | May indicate inheritance from parent workspace or partially applied settings. |
Single vs. Multiple Workspace Selection
The visual indicators behave differently depending on whether you select one or multiple workspaces:
Single Workspace Selected:
- Checkmarks show fields enabled for that specific workspace
- Blanks show fields not enabled
- No dashes appear
- Colors indicate whether changes have been made
Multiple Workspaces Selected:
- Checkmarks show fields enabled across all selected workspaces
- Dashes indicate mixed states (enabled in some, disabled in others)
- Blanks show fields disabled across all selected workspaces
- Colors indicate unsaved changes affecting the selection
Legend and Help
When working in the Project Workspace Assets interface:
- Look for visual cues (color and symbols) to understand field states
- Remember that orange/red highlighting indicates unsaved changes, not errors
- Use the Save button to commit changes
- Use the Reset button to discard unsaved modifications
