Managing Backlog Items in the Storyboard

The Storyboard provides a visual way to manage backlog items and track work progress. This guide covers all common operations you can perform on backlog items from the Storyboard, including adding work, assigning ownership, updating status, handling blocks, and accessing reports.

Add and Plan Work

Add Tasks or Tests

Add tasks or tests directly to a backlog item on the Storyboard:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. On the top right corner of a story card, click the vertical ellipsis icon Ellipsis icon to expand the action menu, and click Plan Story or Plan Backlog Item.
  3. In the Planner window, click the Add Task dropdown followed by Add Task, Add Test, or Copy Tasks and Tests.
  4. Enter necessary details and click Save.

Assign and Manage Ownership

Assign to Team Member

To assign a backlog item to a specific team member:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. In the top right corner of a story card, click the vertical ellipsis More Actions icon icon to expand the action menu.
  3. Select Assign.
  4. Assign owners, select a status, and click Save.

Take Ownership (Sign Me Up)

When you are ready to begin working on a story, assign it to yourself:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. In the top right corner of a story card, click the vertical ellipsis More Actions icon icon to expand the action menu.
  3. Select Sign Me Up. For details, see the Transitions topic.

Update Status and Progress

Update Status

Change the status (such as Future, In Progress, Done, Accepted) of a backlog item by dragging it to a different column. Status changes carry through to all other views in the system:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. Drag and drop each backlog item horizontally to a different status column.

Close Item or Defect

When all work has been completed and no work remains, close the backlog item or defect. Note that closing a backlog item also closes all associated tasks and tests, and zeroes out all remaining To Do:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. In the top right corner of a story card, click the vertical ellipsis More-actions-icon icon to expand the action menu.
  3. Select Close or Quick Close to close the backlog item.

Organize and Prioritize Work

Rank or Prioritize Items

By default, Storyboard story cards display in rank order within each status column. Use drag-and-drop to change priority by dragging items up or down within a column. Note that ranking changes carry through to all other views in the system:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. Drag and drop each story to the desired location within the column.

Copy Backlog Item

Make a duplicate copy of a backlog item on the Storyboard:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. In the top right corner of a story card, click the vertical ellipsis More-actions-icon icon to expand the action menu.
  3. Select Copy. A duplicate copy of the backlog item displays on the storyboard. You can now update the details on the new backlog item.

Convert Between Story and Defect

Convert stories to defects or defects to stories directly from the Storyboard. Any tasks, tests, links, conversations, and attachments also convert:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. In the top right corner of a story card, click the vertical ellipsis More-actions-icon icon to expand the action menu.
  3. Click Convert to Defect or Convert to Story.

Handle Blocking Issues

Create or Assign Blocking Issues

Create or assign an issue to a backlog item to indicate that something is impeding its progress:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. In the top right corner of a story card, click the vertical ellipsis More-actions-icon icon to expand the action menu.
  3. Click Block followed by one of the following options:
    • With New Issue to create a new issue, or
    • With Existing Issue to associate the backlog item with an existing issue.
  4. Follow the prompts to return to the storyboard.

View and Edit Details

View or Update Details

Story cards represent the backlog items in the current sprint or iteration. View or update backlog item details from the Storyboard:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. Choose one of these options:
    • To view basic details, hover over the title or ID.
    • To see full backlog item details, click on the story title or ID.
    • To edit, click the Edit button on the story details page or click the vertical ellipsis More Actions icon icon on the story card and click Edit.
  3. Modify story details as necessary and click Save.

Watch Story or Defect

To receive notifications about all activities that occur with a story:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. In the top right corner of a story card, click the vertical ellipsis Vertical-ellipsis to expand the action menu.
  3. Select Watch Story/Defect.

Filter and Report

Apply Filters

Use filters to narrow or expand the list of items displayed on a Storyboard. Filters allow you to work with or view a subset of data at any given time:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. Click or start typing in the filter field and select any of the filter options.
  3. Repeat Step 2 to select more than one filter.
  4. Click Apply when done.

View Policies

View the policies established by your organization for the Storyboard:

  1. Click the hamburger menu Hamburger icon > Sprint > Storyboard.
  2. Click on the Policies icon at the top-right corner of the storyboard.

Note: If this icon is not visible, there are no policies defined for the storyboard.

Access Storyboard Reports

The following reports show Storyboard metrics:

  • Standup Dashboard: Provides daily standup meeting insights with burndown and work completion metrics
  • Workitem Cycle Time Report: Shows how long items take to flow through the work cycle

Access these reports from the Reports menu while viewing the Storyboard.

Story Card Color Reference

The default dot colors assigned to story cards on Storyboards, Testboards, and Taskboards cannot be changed. Use this reference chart to understand the color sort order:
