Sprint Member Capacity Planning

Sprint Member Capacity Planning allows members and teams to capture detailed hourly capacity targets so they can define the amount of workload on a sprint-by-sprint basis, and understand when they have exceeded their hourly capacity (or limit).

Member Capacity planning is optional, as most Agile teams do not need to actively plan down to this level of detail. But for teams whose member participation varies from one sprint to another, it can be a helpful tool when planning the details of each sprint. You can use the historical reporting data to gauge each team member's historical capacity and factor in any known impacts (such as training, holidays, and so on) for the upcoming sprints.

Member Capacity planning entry is designed to be done at the project level at which the work is to be done. These values do not roll-up, or propagate down, to other nodes in the project hierarchy. A single member can enter capacity in multiple locations if working on multiple projects or with multiple Teams.

Member Capacity planning on the sprint level is done on a sprint-by-sprint basis. It is not the same as capacity planning at the release or team level, which applies to all the sprints in a release.

Enable Member Capacity Planning

By default, the Sprint Member Capacity feature is disabled. To use it, your system administrator must enable it following the steps below:

  1. Click the hamburger menu Hamburger icon > Admin Admin icon > Configuration > System.
  2. In the Enable Features section, select Member Capacity.
  3. Click Save.

View Individual Member Load Trend

Capacity Planning in Digital.ai Agility enables members and teams to capture detailed capacity targets so they can define the amount of workload on a sprint-by-sprint basis and understand when they have exceeded their capacity (or limit).

You can report on individual member capacity estimates:

  1. Click the hamburger menu Hamburger icon > Sprint > Member Capacity.
  2. Click Filter to open the drop-down and select to show by Member Group or to Show All Contributing Members.
  3. Expand the Team to which the member you want to report on is assigned.
  4. In the Member row, click the Report icon to set up the report for the selected team member.
  5. Click Go. The system generates the report based on your filter criteria.
  6. Click Print to print a paper copy, or click PDF to generate an electronic copy. You can also click the Chart Context Menu in the upper right corner under the action buttons to save the report as a PNG graphic, download it as a CSV file, or download it as an XLS spreadsheet.

View Member Capacity Totals

Sprint Capacity totals display on the following pages:

  1. Member Planning (Sprint Planning > Member Planning) - See capacity by member and summed up in total for the sprint.
  2. Member Tracking (Sprint Tracking > Member Tracking) - See capacity by member and summed up in total for the sprint.
  3. My Work (My Home > My Work) - See capacity total for the selected member across all active sprints.
  4. Detail Planning (Sprint Planning > Detail Planning) - See summed up total capacity for the sprint.
  5. Detail Tracking (Sprint Tracking > Detail Tracking) - See summed up total capacity for the sprint.

To see capacity values, your project role must be set to "Observer" or higher.

View Total Member Load Trend

The Capacity Planning page keeps a running total of detail estimate across all active sprints. When you change member estimates, the system updates the Total for that specific sprint. You can view these totals by sprint via the Total Member Load Trend Report, and access this report directly from the grid:

  1. Click the hamburger menu Hamburger icon > Sprint > Member Capacity.
  2. Click Filter to open the drop-down and select to show by Member Group or to Show All Contributing Members.
  3. In the Total row at the top of the grid, click the Report icon to set up the report for the selected teams. The Total Member Load Trend (Detail Estimate) print window opens.
  4. Click Go. The system generates the report based on your filter criteria.
  5. Click Print to print a paper copy, or click PDF to generate an electronic copy. You can also click the Chart Context Menu in the upper right corner under the action buttons to save the report as a PNG graphic, download it as a CSV file, or download it as an XLS spreadsheet.
