Save and Export Roadmaps

Save roadmap views to preserve custom configurations for reuse and export roadmaps to PDF format for sharing with stakeholders.

Permission requirement: All users with roadmap access can save personal views and export to PDF. Saved views created by one user are available to all users with access to the same roadmap.

Who Saves and Exports Roadmaps

Roadmap configuration and export serves different communication needs:

  • Portfolio Managers save strategic views filtering by theme and owner to monitor portfolio distribution and share with executives.
  • Product Owners create saved views showing feature delivery timelines and export to PDF for stakeholder reviews.
  • Program Managers save PI-specific views to track program increment planning and communicate schedules to teams.
  • Business Stakeholders export roadmaps to PDF for presentation in leadership meetings and strategic planning sessions.

Save a Roadmap View

Save a snapshot view of a roadmap with specific configurations, filters, and layouts. Saved views allow you to define one or more common structures for viewing your roadmap and share those to all users to keep everyone focused on the right details.

Save a New View

  1. Click the hamburger icon Hamburger icon > Portfolio > Roadmaps.
  2. If not already selected, choose a project from the Project Navigator.
  3. Click Layout Timeline icon (Timeline) or Board icon (Board).
  4. Configure the roadmap with your desired filters, grouping, and display options.
  5. Click Save.
  6. Enter a name for the view and click Save.

The saved view is now available in the Saved View drop-down list for all users with access to the roadmap.

View a Saved Roadmap

Access a previously saved roadmap configuration to quickly return to a specific view.

  1. Click the hamburger icon Hamburger icon > Portfolio > Roadmaps.
  2. If not already selected, choose a project from the Project Navigator.
  3. Click Layout Timeline icon (Timeline) or Board icon (Board).
  4. Select a roadmap from the Saved View drop-down list.

The roadmap displays with the saved configuration, including filters, grouping, time periods, and other display options.

Copy a Saved Roadmap

Create a copy of an existing saved view to use as a starting point for a new configuration.

  1. Click the hamburger icon Hamburger icon > Portfolio > Roadmaps.
  2. If not already selected, choose a project from the Project Navigator.
  3. Click Layout Timeline icon (Timeline) or Board icon (Board).
  4. Select a roadmap from the Saved View drop-down list.
  5. Click the Save As button.
  6. Enter a new name and click Save.

Update a Saved Roadmap

Modify an existing saved view to reflect changes in your roadmap configuration.

  1. Click the hamburger icon Hamburger icon > Portfolio > Roadmaps.
  2. If not already selected, choose a project from the Project Navigator.
  3. Click Layout Timeline icon (Timeline) or Board icon (Board).
  4. Select a roadmap from the Saved View drop-down list.
  5. Make your changes to filters, grouping, or display options.
  6. Click Update.

The saved view is updated with the new configuration.

Delete a Saved Roadmap

Remove a saved view that is no longer needed.

  1. Click the hamburger icon Hamburger icon > Portfolio > Roadmaps.
  2. If not already selected, choose a project from the Project Navigator.
  3. Click Layout Timeline icon (Timeline) or Board icon (Board).
  4. Select a roadmap from the Saved View drop-down list.
  5. Select Delete from the Save As drop-down menu.

Export Roadmap to PDF

Generate a PDF version of a roadmap for presentations, offline sharing, or archival purposes.

  1. Click the hamburger icon Hamburger icon > Portfolio > Roadmaps.
  2. If not already selected, choose a project from the Project Navigator.
  3. Click Layout Timeline icon (Timeline) or Board icon (Board).
  4. Configure the roadmap with your desired filters, grouping, and display options.
  5. Click Export to PDF or use the print function and select "Save as PDF".
  6. Choose your PDF settings and save the file.

The PDF captures the current state of the roadmap, including all visible portfolio items, layout, filters, and grouping.

Troubleshooting

Why don't I see saved views I created?

Saved views are tied to the specific planning level and project context where they were created. If you switch to a different project or planning level, your saved views won't appear. Navigate back to the original context to access your saved views. Also verify you didn't accidentally delete the saved view—check with other team members if it was shared.

Why can't I update or delete a saved view?

Only the user who created a saved view can update or delete it, even though all users can access and use the view. If you need to modify a saved view created by someone else, use "Save As" to create your own copy, then modify the copy. Contact the original creator to request changes to their saved views.

Why does my exported PDF look different from the screen view?

PDF export captures the visible roadmap but may adjust formatting for print layout. Large roadmaps may be split across multiple pages, and some colors or interactive elements may render differently. Before exporting, configure the roadmap to show only essential information, use appropriate zoom levels, and preview the PDF to verify it meets your needs. Adjust roadmap configuration and re-export if necessary.

Why do saved views not include my latest filter changes?

Saved views capture the configuration at the time of saving. If you apply new filters after loading a saved view, those changes aren't automatically saved. To update the saved view with new filters, click "Update" after making your changes. If you want to preserve both versions, use "Save As" to create a new saved view with a different name.
