Publish and Share Roadmaps

Publish roadmaps to a URL that can be shared with others, even if they don't have access to Digital.ai Agility. Manage published roadmaps by updating, viewing revisions, or deleting them.

Permission requirement: Publishing roadmaps requires Project Admin or Portfolio Manager permissions. Anyone with the published URL can view the roadmap without logging in, so share published links only with authorized stakeholders.

Who Publishes and Shares Roadmaps

Roadmap publishing enables external stakeholder communication:

  • Portfolio Managers publish strategic roadmaps to share delivery plans with executives, board members, and business partners.
  • Product Owners publish feature roadmaps to communicate release plans with customers, sales teams, and marketing stakeholders.
  • Program Managers publish program increment roadmaps to coordinate with external dependencies and vendor partners.
  • Release Managers share published roadmaps with support teams and customer success to prepare for upcoming releases.

Publish a Roadmap

Share a roadmap by publishing it to a system-generated URL that anyone can view without logging in.

  1. Click the hamburger icon Hamburger icon > Portfolio > Roadmaps.
  2. If not already selected, choose a project from the Project Navigator.
  3. Click Layout Timeline icon (Timeline) or Board icon (Board).
  4. Select the Saved View upon which you want to base your published roadmap.
  5. Click Publish.
  6. Enter a description of the roadmap (the title is defaulted, but you can add additional detail such as "xxx - Q1 Plan Review" to communicate more context about this revision) and click Publish.
  7. To share the roadmap, copy and paste the system-generated URL.

Important: This link does not require a login to view the data, so be sure to share only with those authorized to see the data.

You can also see the list of published roadmaps on the Publications page: Admin icon Admin > Configuration > Publications.

Update a Published Roadmap

Make changes to a roadmap that has already been published. This updates the view for all users with the published roadmap URL.

  1. Click the hamburger icon Hamburger icon > Portfolio > Roadmaps.
  2. If not already selected, choose a project from the Project Navigator.
  3. Click the Layout icon: Timeline icon (Timeline) or Board icon (Board).
  4. Make your changes to the roadmap.
  5. Click Publish.

The published roadmap is updated with your changes, and a new revision is created in the revision history.

View Published Roadmaps

View previously published roadmaps and access their revision history.

  1. Click the hamburger icon Hamburger icon > Portfolio > Roadmaps.
  2. If not already selected, choose a project from the Project Navigator.
  3. Using the Saved View dropdown, select the saved view you would like to see.
  4. Click Publish > Published Roadmaps.
  5. In the Published Roadmaps dialog box, expand the Revisions tab under the roadmap title.
  6. Click on the title of the published roadmap revision you want to view.

This opens the selected revision of the published roadmap, allowing you to see historical snapshots of your plans.

Delete a Published Roadmap

Remove a published roadmap to revoke all external access to it.

  1. Click the hamburger icon Hamburger icon > Portfolio > Roadmaps.
  2. If not already selected, choose a project from the Project Navigator.
  3. Click the Layout icon: Timeline icon (Timeline) or Board icon (Board).
  4. Select a roadmap from the Saved View drop-down list.
  5. Click Publish > Published Roadmaps.
  6. In the Published Roadmaps dialog box, click Delete next to the roadmap you want to remove.

Note: Deleting a published roadmap also deletes all earlier revisions of that roadmap.

Tips

  • Publish different saved views for different audiences (executive summary, detailed delivery plan, etc.)
  • Add descriptive titles to published revisions to track major planning changes over time
  • Review the Publications page periodically to clean up outdated published roadmaps
  • Consider who has access to the published URL since it doesn't require authentication

Troubleshooting

Why can't I publish a roadmap?

Publishing requires Project Admin or Portfolio Manager permissions. If the Publish button is missing or disabled, verify your role and permissions with your system administrator. Also confirm you've selected a saved view—published roadmaps must be based on saved views. If you're trying to publish an unsaved configuration, save it first, then publish.

Why doesn't my published roadmap show the latest data?

Published roadmaps are snapshots, not live views. When you publish or update a published roadmap, it captures the current state of portfolio items at that moment. If portfolio items change after publication, those changes won't appear in the published version until you explicitly update the published roadmap using the Publish button.

How do I revoke access to a published roadmap?

Delete the published roadmap to invalidate the URL and revoke all access. Anyone with the URL will no longer be able to view the roadmap. Note that deleting a published roadmap also removes all previous revisions. If stakeholders saved or bookmarked the URL, they'll see an error message when attempting to access it after deletion.

Why do I see multiple revisions of the same published roadmap?

Each time you update a published roadmap, a new revision is created in the revision history. This maintains a historical record of your planning changes over time. You can view previous revisions to see how plans evolved. Revisions help track major planning milestones and provide accountability for delivery commitments. When you delete a published roadmap, all revisions are deleted together.
