Customize Portfolio Item Cards
Card customization displays the information most relevant to your team's workflow and decision making needs on portfolio item cards.
Who customizes cards: Project Admins configure which fields appear on portfolio item cards. All users view cards using the same configured layout.
Permission requirement: Customizing card display requires Project Admin permissions. All users see cards using the same configured layout.
Card Customization Options
You can customize three fields on each portfolio item card to display variable information:
- Bottom left field: Displays a customizable attribute in the lower left corner of the card
- Bottom right field: Displays a customizable attribute in the lower right corner of the card
- Tab field: Displays a small tab hanging below the card on the left side
All portfolio item cards display the same format across the Portfolio Kanban based on the values you select.
Customize Card Display
Choose which attributes appear in the three customizable positions on portfolio item cards.
Steps to Customize
- Click the hamburger icon
> Portfolio > Portfolio Kanban.
- Click the wrench icon to open the action menu.
- Select Customize.
- The Customize Portfolio Kanban window opens.
- Click the Card Options tab.
- Make your portfolio item card display selections in each of the three drop-down lists.
- Click Save.
The Portfolio Kanban displays your new portfolio item card layout immediately.
Available Card Fields
Choose from many portfolio item attributes for card display:
Dates:
- Change Date
- Create Date
- Target Start Date
- Target End Date
Estimates and Metrics:
- Swag (high-level estimate)
- Estimate (rolled up from backlog items)
- Story Count
- Points Total
Ownership and Assignment:
- Owners
- Changed By
- Created By
- Team
Strategic Context:
- Strategic Theme
- Investment Category
- Priority
- Risk
- Value
Progress Indicators:
- Status
- Percent Complete
- Blocked (yes/no)
Choose Effective Card Attributes
Select card fields based on what your team needs to see at a glance:
For executives: Strategic Theme, Target End Date, Swag or Estimate (provides strategic context and timeline visibility)
For program managers: Owners, Team, Status (shows accountability and current state)
For product owners: Priority, Value, Risk (helps with prioritization decisions)
For delivery teams: Story Count, Points Total, Percent Complete (tracks detailed progress)
Best Practices
Display decision-critical information: Choose fields that support the decisions your team makes while viewing the board.
Avoid redundant information: Don't display fields that are already clearly shown elsewhere on the card (like Status, which is indicated by column position).
Consider your audience: Tailor card displays for the primary users of the board (executives need different information than delivery teams).
Test different combinations: Experiment with different field combinations to find the most useful layout for your team.
Keep it simple: Displaying too much information on cards can make the board harder to scan quickly.
Troubleshooting
Why don't I see the option to customize portfolio item cards?
Customizing card display requires Project Admin permissions. If you don't see the wrench icon or Customize option on the Portfolio Kanban Board, contact your Project Admin or Site Admin to request the necessary permissions. Card customizations apply to all users viewing the board for that project.
Why doesn't a field I selected appear on portfolio item cards?
Some fields only display when they contain data. For example, if you select "Owners" as a card field but a portfolio item has no assigned owner, that field appears blank on the card. Also, verify you clicked Save in the Customize menu after selecting the field - changes don't apply until saved. Refresh the page if needed.
Can different users see different card layouts on the same board?
No, card customizations apply to all users viewing the Portfolio Kanban Board for a specific project. All users see the same three customizable fields (bottom left, bottom right, and tab). If different stakeholders need different views, consider creating separate PlanningRooms with project-specific boards or using portfolio item dashboards for detailed individual views.
Why do some portfolio item cards show different fields than others?
All cards use the same field configuration, but field values vary by portfolio item. If a card appears to show different fields, it's likely because some portfolio items have data in those fields and others don't. For example, cards with assigned owners show the owner's name, while cards without owners show that field as blank. The card layout is consistent - the data varies.
