Customizing Columns on the Portfolio Kanban Board

This article explains how to customize columns in the Portfolio Kanban Board.

Overview

Follow the steps outlined in the procedure to customize the columns.

Step 1. List Types

Portfolio Item List Types are definitions of portfolio item detail values. Portfolio Item status values can be represented on the Portfolio Kanban as column headings for visual project tracking while other list types (e.g., Type, Priority) are used to define portfolio item detail attributes. To change the columns on the Portfolio Kanban, you'll first want to make sure that the values you want to display are available in the system.

  1. Click the hamburger icon Hamburger icon > Admin > List Types > Portfolio Item. Your portfolio item list types display.
  2. Scroll to the Status list type. All available Portfolio Item status values are listed in the order they display when in Portfolio Item Details page.
  3. If you want to add additional Status values, click the Add button to the right, and the enter a title (required) and description (optional) for the new attribute. Click Save.
  4. To update, inactivate, or delete a list type, click the Edit button to the right and choose the appropriate action from the drop-down list.

Step 2. Managing Display Fields

The Portfolio Item Display Fields function allows you to define which fields display for editing in your project. This is where you can make sure the right Status values are available in your project.

  1. Click the hamburger icon Hamburger icon > Admin > Project Workspace Assets under ASSET CUSTOMIZATION.
  2. Select the Project Workspace for your project. The workspaces with an asterisk, highlighted blue, have a dedicated project workspace. Any project without an asterisk or highlighting is inheriting its workspace from a parent. You can either make the change to that parent or create a new workspace for that project.
  3. Expand the Portfolio Item asset and scroll to Status.
  4. Click Show Valuesin the Type (second) column.
  5. Select the values you want to display and de-select the values you do not want to show.
  6. Go back to your Portfolio Kanban. The column headings reflect the new value set.

Note: If Tracking Portfolio Items are defined in lower-level projects, the Status values applicable to that project(s) are also displayed on the board.

Step 3 (optional). Show Rollup Categories

When viewing a Portfolio Kanban, you sometimes just want to know what's not started, what's currently in progress, and what's complete. Configuring a Portfolio Kanban board to show columns by rollup category allows you to do a quick assessment of portfolio item progress, without having to track across the more granular portfolio item status values.

  1. On the Portfolio Kanban, open the Customize menu.
  2. On the Board Options tab, check the Show Rollup Category checkbox, and then click Save.
  3. The Portfolio Kanban board will now show three rollup status columns: Not Started, In Progress, and Completed.

New Group by Options

New group by options for Portfolio Item cards are included for Portfolio Kanban Board and Kanban Board in planning rooms. The three new group by options are:

  • Parent Portfolio Item
  • Target Team
  • Planning Level
