Digital.ai Agility provides multiple search options to find work items, conversations, and community topics.
Search options
Agility offers three search methods to help you find work items and content:
- Quick Search: Fast keyword or ID search for open work items, conversations, and community topics. Located in the header on every page.
- Advanced Search: Detailed search with filters for asset types, closed items, and deleted items. Provides sorting, filtering, and drill-down capabilities.
- Grid Search: Search within any grid using the Find filter to focus on items in a specific context (backlog, iteration, etc.).
Search scope: You only see items you have permission to view. Search results respect project access and role permissions.
Use Quick Search
Quick Search is located in the sidebar on every page and finds assets for open work items, conversations, and community topics.
- Type at least three characters of a term or ID in the Quick Search box.
- Pause for a few seconds to see a preview of matching open work items, or continue typing to refine results.
- Select the work item from the list to view details.
For example, to find task TK-01234, enter any of these: TK-01234, 01234, or 1234.
Quick Search requires a minimum of three characters before showing results.

Use Advanced Search
Advanced Search provides detailed search capabilities including:
- Search for specific asset types
- Find closed or deleted work items
- Use advanced search operators and boolean characters
- Filter and sort search results
- Drill down into further details
Access Advanced Search
- Place your cursor in the Quick Search box and press Enter, or click the magnifying glass next to the search box.
- When the Advanced Search page opens in a separate window, enter your search criteria and click Search.
Filter and sort results
When search results display, you can:
- Change sort order: Click a column header to change the sort order. By default, results are sorted by most recently changed items.
- View results by asset type: Click a tab to filter the list by asset type.
- View item details: Click an item to open the details page.
Advanced Search does not include results from Conversations.
Use quotation marks to search for exact phrases. For example, searching for "user authentication" (with quotes) finds only items containing that exact phrase.

Search within grids
Search for work items within any grid using the Find filter.
- In any grid, click the + icon next to the Filter button.
- Type a word in the Find field.
- Click Apply Filters.
Common Use Cases
Quick ID lookup from Slack
A developer receives a Slack message saying "please review story S-12345 before standup". They switch to Agility, type "12345" in the Quick Search box at the top of any page, and pause briefly. The Quick Search preview displays the matching story with its title and current status. They click the story in the preview to open the full details page, read the description and acceptance criteria, add a comment with their review feedback, all within 30 seconds of receiving the Slack message.
Advanced troubleshooting search
A Product Owner needs to analyze all high-priority stories closed in the last quarter for a retrospective. They click the magnifying glass next to the Quick Search box to open Advanced Search. They select filters: Asset Type equals Story, Status equals Closed, Priority equals High, Date Closed equals last 90 days. They click Search and receive 47 matching results. They change the sort order to group by close date, export the results to Excel, and use the data to identify patterns in story completion for the retrospective discussion.
Cross-project security audit search
A Portfolio Manager conducting a compliance audit needs to find all epics containing the word "security" across all programs in the organization. They open Advanced Search, type "security" in the keyword field, select Asset Type equals Epic, leave the project filter open to search all projects, and click Search. The results show 12 epics from various programs. They click through each epic to review security-related initiatives, identify gaps in security coverage, and compile a comprehensive security roadmap report for executives.
Frequently Asked Questions
Why does my search not find items I know exist?
Several reasons: (1) Check your spelling, (2) Closed items require Advanced Search with "Include Closed" enabled, (3) Deleted items require the "Find deleted items" option, (4) You may lack permissions to see certain items, (5) The search term may be a stop word that is excluded from search indexing.
Can I search for deleted items?
Yes, but only through Advanced Search. Click the magnifying glass to open Advanced Search, then click the "Find deleted items" option (trash icon). Quick Search only finds active (non-deleted) items. Use Advanced Search to locate and potentially recover deleted work items from the Recycle Bin.
Can I search within Conversations?
No, Advanced Search explicitly does not include results from Conversations. To search conversation content, navigate directly to the Conversations page or the specific TeamRoom where the conversation occurred and use the conversation search features available there.
What are stop words and why does my search exclude them?
Stop words are common words like "the", "and", "or", "a", "is" that are automatically excluded from search indexing to improve performance. If your search includes only stop words, you receive no results. See the Search Stop Words List for the complete list of excluded words.
Can I save search queries?
Agility does not provide a built-in feature to save search queries for reuse. However, you can save frequently used search criteria as My Views if you are searching within grids. For complex Advanced Searches, consider documenting your search criteria in a personal note or spreadsheet for quick reference.
