My Inbox

The My Inbox page displays notification messages generated from subscriptions and direct messages sent to you by other team members. Use My Inbox to stay informed about changes to work items you're tracking and communicate with your team.

All users receive subscription notifications and direct messages. My Inbox is private, so only you can see your messages. System and Project Administrators can send mass messages to multiple users.

Access My Inbox

You can access My Inbox in two ways:

  • Click the hamburger menu Hamburger icon > Rooms > My Room > My Inbox.
  • Click the Messages icon Messages icon on the header, then select My Inbox.

You can also add a My Inbox module to your My Work page for quick access.

Message Sources

My Inbox displays messages from:

  • Subscription notifications: Automatic alerts when work items you're watching change
  • Direct messages: Messages sent directly to you by other team members

Send a Message

Send messages directly to other team members to share information or ask questions. Use the My Inbox page to send messages to other Digital.ai Agility members.

Note: Only System and Project Administrators have the ability to send mass messages to multiple users in Digital.ai Agility.

To send a message:

  1. Click the hamburger menu Hamburger icon > Rooms > My Room > My Inbox.
  2. Click the Send Message button.
  3. In the Send Message dialog box, enter your message details:
    • Recipients: Select one or more team members (required)
    • Title: Enter a subject line for your message (required)
    • Asset: Optionally link the message to a work item
    • Description: Enter your message content using the rich text editor
  4. Click Send.

Send message

The message is delivered to the recipients' My Inbox.

Mark Messages as Read or Unread

Indicate if a message has been read or unread on the My Inbox page. Mark messages as read to track which messages you've reviewed.

To mark individual messages:

  1. Click the hamburger menu Hamburger icon > Rooms > My Room > My Inbox.
  2. Click the Mark As Read dropdown button on the message row.
  3. Select Mark as Read.

To mark multiple messages:

  1. Select the checkboxes next to each message you want to mark.
  2. Click the Mark As Read dropdown button at the top of the list.
  3. Select Mark as Read to indicate you've reviewed the messages.

Archive Messages

Archiving a message temporarily removes it from your My Inbox and places it in the archived state. You can retrieve archived messages at any time by unarchiving them.

To archive individual messages:

  1. Click the hamburger menu Hamburger icon > Rooms > My Room > My Inbox.
  2. Click the Mark As Read dropdown button on the message row.
  3. Select Archive.

To archive multiple messages:

  1. Select the checkboxes next to each message you want to archive.
  2. Click the Mark As Read dropdown button at the top of the list.
  3. Select Archive.

The messages are removed from your active inbox and moved to archived status.

Unarchive Messages

Unarchiving a message allows you to retrieve a message that was previously archived and refreshes your My Inbox to display the message.

To unarchive messages:

  1. Click the hamburger menu Hamburger icon > Rooms > My Room > My Inbox.
  2. Click inside the Filter field.
  3. Select Show Archived Messages.
    • Archived messages display in strikethrough text.
  4. Select the message(s) you want to unarchive.
  5. Select Unarchive from the action menu.

The messages return to your active inbox.

Delete Messages

Permanently remove messages from the system when you no longer need them. Deleted messages cannot be recovered.

To delete individual messages:

  1. Click the hamburger menu Hamburger icon > Rooms > My Room > My Inbox.
  2. Click the Mark As Read dropdown button on the message row.
  3. Select Delete.

To delete multiple messages:

  1. Select the checkboxes next to each message you want to delete.
  2. Click the Mark As Read dropdown button at the top of the list.
  3. Select Delete.

The messages are permanently removed from the system and cannot be recovered.

Troubleshooting

Not receiving expected notification messages

Verify you have active subscriptions configured on the Subscriptions page. If subscriptions are set up but notifications aren't arriving, check that the work items you're tracking are in projects you have permission to view. Also confirm that notification email delivery is enabled if you're expecting email alerts.

Messages disappear from My Inbox

Check if messages were archived. Click inside the Filter field and select Show Archived Messages to view archived items. If messages were deleted, they cannot be recovered—deletions are permanent.

Can't send messages to certain team members

You can only send messages to active Digital.ai Agility members in projects you have access to. If a team member doesn't appear in the recipient list, verify they have an active account and are assigned to projects you can view.

My Inbox message count doesn't match actual messages

The message count includes both read and unread messages in your active inbox. Archived messages are not included in the count. If the count seems incorrect, try refreshing the page or clearing your browser cache.
