Working With Member Tracking

The Member Tracking page displays an editable grid of all team members assigned to a specific sprint or iteration and a flat list of all backlog items, tasks, and acceptance tests owned by each member.

Accessing Member Tracking

  • Click the hamburger menu Hamburger iconSprint > Member Tracking.

Working with Member Tracking

From the Member Tracking page, you can:

  • View Sprint Summaries by Team
  • Track Progress by Team Member
  • Manage Member Workloads
  • View Backlog History
  • Report on Team Status

Viewing Sprint Summaries by Team

You can use the Summary table at the top of the page to compare rollup values of the current sprint's contents with that of the last closed sprint.

  1. Click the hamburger menu Hamburger iconSprint > Member Tracking.

    • Select the project for which you want to review team summaries from the project tree at the top of the page.
    • Select the sprint you want to track from the Sprint drop-down list.
    • Select the team you want to track from the Team drop-down list.
  2. The Sprint Summary grid populates with team information pertaining to the selected sprint (End Date, Total Estimate Pts., Total Capacity Hrs., Detail Estimate Hrs., Total Done Hrs., Total To Do Hrs., and progress bars) for the current (selected) sprint and the last closed sprint.

  3. Click on a spring or iteration in the Title column to open the Sprint Details page and drill down into specifics.

Tracking Progress by Team Member

To track progress by individual team members:

  1. Click the hamburger menu Hamburger iconSprint > Member Tracking.
  2. In the Members grid, the default view shows each member of the team and the Detail Estimate Hrs. and To Do Hrs. for those with assigned work for the selected sprint.
  3. Click on a member's name in the Title column to open the Member Details view, where you can view and/or update information (owned backlog, project and group memberships, links, and attachments).
  4. Click the + (plus sign) next to any member having assigned work to drill down into individual backlog items. The list expands to show all backlog owned by the member.
  5. Click on any backlog item to open the Backlog Details page for the item, where you can view or update any stories, defects, tasks, and tests being worked by the selected member.
  6. NOTE that the Detail Estimate Hrs. column will contain the values from Closed workitems as well. You should add the Include Closed Items filter to the Members grid in order to see what items are included in the Detail Estimate Hrs. calculation.

Managing Member Workloads

You have several options for updating member work in a sprint or iteration

Create New Stories and Defects

  1. Click the hamburger menu Hamburger iconSprint > Member Tracking.
  2. Open the Add Backlog Item drop-down menu and select either Add Backlog Item or Add Defect. The New Backlog Item (or New Defect) window opens.
  3. Enter a title for the new backlog item and assign it to a sprint or iteration, team, and owner. Enter other values as needed.
  4. Click Save to save your new backlog item and its assignments and return to the Member Tracking page.

Update Through the Members Grid

  1. Click the hamburger menu Hamburger iconSprint > Member Tracking.
  2. Click the + (plus sign) next to the member whose work you want to update to drill down into individual backlog items. The list expands to show all backlog owned by the member.
  3. Double-click any of the column headings to make them editable.
  4. Enter Effort Hrs. and update the remaining To Do Hrs. estimate for each tracking item that has changed. Update other values as appropriate (for example, Backlog, Backlog Group, Status, Owner, Capacity, Detail Estimate).
  5. Click Save. Your updates are saved.

Update Through the Quick Close Drop-down Menu

As with many grids in Digital.ai Agility, many create or update functions are accessible through a side menu. The Quick Close drop-down menu displays in the rightmost column for each workitem in the Members grid. It provides many ways to update member work efforts for a specific sprint by giving you direct editable access to member-assigned backlog.

The Quick Close menu offers the following create or update functions.

Closing or Approving Workitems

Close tasks and tests when they have been completed, approved, and updated to clear them from the default view. Close the workitem in the sprint backlog when it is completed, approved, and updated to reflect the completion.

Multiple Owners

Display the Allocated Detail Estimate Hrs. and Allocated To Do Hrs. columns when multiple owners are assigned to a single item. This divides the Detail Estimate Hrs. or remaining To Do Hrs. amounts by the number of owners, showing a more accurate picture of each person's workload. Any workitem assigned to multiple owners display under each owner in the list.

Viewing Backlog History

You can use the summary table at the top of the page to compare rollup values of the current sprint 's contents with that of the last closed sprint You can also check historical information for each assigned backlog item, including Change Date, Project, Sprint, Member Owner, Effort Hrs., Done Hrs., and To Do Hrs..

To view backlog history for a specific workitem:

  1. Click the hamburger menu Hamburger iconSprint > Member Tracking.
  2. In the Members grid, select a member check their workitem history. Expand the backlog for that member.
  3. Choose the item and click the H on the far right of the grid for that item. The Backlog History window opens with audit trail information about the item.

Reporting on Team Status

Four inline reports allow you variable views into team member tracking.

  • Member Load Trend

Shows the total amount of detail estimate delivered (historical) or planned (future) for each selected sprint. Use this report to better understand an individual's proven capacity over time, which helps in determining how much work to assign within the sprint being planned.

  • Member Group Load Trend

Shows the amount of work assigned to a member group for the selected sprint over a period of time. The comparison between work in the selected project and other projects gives an indication of the relative allocation of a member group's effort across projects.

  • Velocity Trend

Bar chart showing the total amount of backlog estimate completed and delivered over a series of sprints. Use this report to get an idea of a team's capacity, which you can then factor into team schedules and commitments.

  • Burndown

Shows the progression of a team through a set of work by displaying a series of snapshots of the remaining and completed work. Feature progress is measured by closed vs. open backlog estimate.

To access these reports:
