Get Started with PlanningRooms

PlanningRooms provide dedicated workspaces for teams planning at various levels, focusing on their specific areas of responsibility. These rooms support collaborative planning across different organizational levels.

Different roles use PlanningRooms based on their planning scope:

  • Portfolio managers coordinate strategic planning across multiple programs and track high-level initiatives
  • Program managers facilitate PI planning sessions and coordinate cross-team dependencies
  • Product owners plan releases and coordinate backlog prioritization with stakeholders
  • Scrum masters use rooms for sprint planning and retrospectives with their teams

PlanningRoom Capabilities

  • Access PlanningRooms through the main navigation or direct URLs
  • Create separate rooms for different planning groups (steering committees, product teams, security components)
  • Bookmark PlanningRoom URLs for quick access
  • Share PlanningRoom links with team members
  • View all your PlanningRooms in one place
  • Customize each room's focus based on organizational level

Permission requirement: All project members can access PlanningRooms they are members of. Creating new PlanningRooms requires Project Admin permissions.

Understand PlanningRooms

PlanningRooms are collaborative workspaces designed for teams planning at different levels of your organization. Each room can be configured to focus on specific planning areas, portfolios, programs, or schedules.

Key capabilities

  • Multi-level planning: Support planning at portfolio, value stream, and program levels
  • Focused workspaces: Configure each room to display relevant items based on project, schedule, or program
  • Collaborative environment: Enable team members to coordinate efforts and track progress together
  • Flexible access: Access rooms through navigation menu or direct URLs
  • Customizable panels: Install and configure panels specific to each planning group's needs

PlanningRoom organizational levels

Different groups use PlanningRooms based on their planning scope:

  • Steering committees: High-level strategic planning and portfolio oversight
  • Product planning groups: Product-specific planning and roadmap development
  • Component teams: Focused planning for specific components (e.g., security, infrastructure)
  • Program teams: Cross-team coordination and program increment planning

Access your PlanningRooms

Navigate to PlanningRooms to view and work with your planning workspaces.

Access through main navigation

  1. Click the hamburger icon Hamburger icon > Rooms > PlanningRooms.
  2. View the list of all PlanningRooms you have access to.
  3. Click on a PlanningRoom name to open it.
  4. Select PlanningRooms from the dropdown to return to the full list.

Use bookmarks for direct access

For faster access to frequently used PlanningRooms:

  1. Open the PlanningRoom you want to bookmark.
  2. Copy the URL from your browser's address bar.
  3. Save the URL as a browser bookmark.
  4. (Optional) Share this URL with team members who need access to this specific room.

Benefits of direct URL access:

  • Bypass the main navigation menu
  • Provide access to users who only need one specific room
  • Create desktop shortcuts or quick links
  • Include in team communication channels or wikis

View all your PlanningRooms

To see all PlanningRooms available to you:

  1. Click the hamburger icon Hamburger icon > Rooms > PlanningRooms.
  2. The PlanningRooms page displays all rooms you're a member of.
  3. Each room shows:
    • Room name and mascot
    • Associated project
    • Number of members
    • Recent activity

Troubleshooting

Why don't I see any PlanningRooms? You must be added as a member of a PlanningRoom to see it in your list. Contact your Project Admin to add you to relevant rooms.

Why can't I access a PlanningRoom someone shared with me? The URL works only if you are a member of both the project and the specific PlanningRoom. Ask the Project Admin to verify your project membership and PlanningRoom membership.

Why are some panels missing from my PlanningRoom? Panels must be installed by a Project Admin. Check PlanningRoom Properties > Panels to see which panels are installed and request additional panels if needed.
