Work with Team Scheduling

Create teams, move work items between teams, split backlog items, and update story status on the Team Scheduling page.

Permission requirement: Creating teams requires Administrator role or team creation permissions. Moving work items between teams requires modify permissions on the work items. Splitting backlog items requires modify permissions on backlog items and sprints. Updating backlog items requires modify permissions on the items.

Who Works with Team Scheduling

Team scheduling activities support agile execution:

  • Scrum Masters create teams during setup, move work items between teams using drag-and-drop, and split partially completed stories at sprint end.
  • Team Members update backlog items directly from Team Scheduling, changing status, estimates, or descriptions without navigating to separate pages.
  • Product Owners split backlog items to accurately account for work performed within sprints while moving remaining work to future sprints.
  • Team Leads configure team capacity settings (Target Velocity, Target Swag) during team creation to enable increment capacity planning.

Create Team

To create a new team:

  1. Click the hamburger menu Hamburger icon > Increment > Team Scheduling.
  2. Click Add Team in the All Teams section of the page.
  3. On the Team page, enter the team name in the Title field.
  4. (Optional) If doing Increment Capacity Planning, enter the team's Target Velocity and Target Swag.
  5. Click Save to save the new team and return to the Team Scheduling page.

Move Work Items Between Teams

You can move (or reassign) work items from one team to another.

To move work items using drag and drop:

  1. Click the hamburger menu Hamburger icon > Increment > Team Scheduling.
  2. Click the plus sign (+) next to a team to view all work items assigned to the team.
  3. Select an item you want to move and simply drag and drop it onto the team to which it is to be reassigned. The system adjusts cumulative counts and estimates for both teams.

To move work items by editing:

  1. Click to open the work item and click the Edit icon in the Team field.
  2. Click the minus sign (-) next to the currently assigned team and select a team from the suggested teams list.

Split Backlog Item

The Split process is typically done at the end of a sprint to split a partially completed feature. A split takes the portion of work that is completed and leaves it in the current sprint under the current story, while moving the remaining work estimate (tasks or tests) to the next sprint under a new backlog item. This allows accurate accounting of work performed within a given sprint while giving you flexibility to apply work credit estimates to the partially completed feature.

To split a backlog item:

  1. Click the hamburger menu Hamburger icon > Increment > Team Scheduling.
  2. Click on a backlog item (either from the Team to which it is assigned or from the Backlog grid) to open the backlog item details page.
  3. Open the Edit drop-down menu and select the Split option. The Split Backlog Item window opens, showing details of the story with remaining work estimate.
  4. Click the Split button. The system generates a new backlog item with the same name as the original. The remaining work estimate is transferred to the new backlog item. Completed estimates remain with the original backlog item.
  5. In the New Item section, select a new sprint from the Sprint drop-down list.
  6. Click Save next to the new item. The new backlog item details are saved.
  7. Click Save at the top of the window. The new backlog item is assigned to the team who worked the original backlog item, and the item shows in the Team box with the inherited work estimate.

Update Backlog Items

You can update your backlog directly from the Team Scheduling page.

To update a backlog item:

  1. Click the hamburger menu Hamburger icon > Increment > Team Scheduling.
  2. In the Backlog grid, click on the backlog item you want to update. The Details page for that item opens.
  3. Click Edit to open the Backlog Item Edit window and update the backlog item details, then click Save, or click Show Relationships to associate other items with it (e.g., add tasks, tests, links, and attachments, or assign requests and issues).

Troubleshooting

Why can't I create a team?

Team creation requires Administrator role or specific team creation permissions. Verify you have the necessary permissions by checking with your system administrator. If the "Add Team" button doesn't appear on the Team Scheduling page, ensure the Teams feature is enabled in Admin > Features.

What happens to tasks and tests when I split a backlog item?

When you split a backlog item, completed work (estimates) remains with the original item in the current sprint. Remaining work estimates transfer to the new backlog item assigned to the next sprint. Associated tasks and tests remain linked to the original backlog item. If you need to move specific tasks or tests to the new item, manually reassign them after the split.

Why does moving a work item update the "Owned By" field?

Moving work items between teams updates ownership to reflect the new team assignment. This ensures that team members on the target team see the work item in their views and reports. If you need to preserve specific individual ownership within a team context, consider using the "Assigned To" field in addition to team assignment.

Can I undo a team assignment or work item move?

Yes, simply drag the work item back to its original team or edit the work item to change the team assignment. Changes take effect immediately. Note that moving items between teams affects capacity calculations and velocity reports, so review capacity bars after making changes to ensure balanced workload.
