Generate Assets from Requests
Various system assets can be generated directly from a request to accommodate requirements and begin development. Each request can generate multiple system assets, and the system establishes relationships between the request and the generated asset.
Who Generates Assets from Requests
Product Owners generate stories and portfolio items from approved requests, converting feature ideas into actionable development work and organizing them within the backlog hierarchy.
Team Members create defects from requests when issues are identified as bugs rather than new features, generate issues to track impediments, and create backlog items from technical improvement requests.
Scrum Masters facilitate the conversion of requests to work items during backlog refinement sessions, ensuring that approved requests are properly captured as stories, defects, or issues.
Business Analysts generate portfolio items for high-level features, create multiple related stories from comprehensive requests, and maintain traceability between requests and generated work items.
Permission Requirement
To generate assets from requests: Members need Edit access to the project.
To generate portfolio items: Members may need additional permissions depending on your portfolio hierarchy configuration. Contact your administrator if you cannot generate specific portfolio item types.
To close requests when generating assets: Members need Edit access to use the Save & Close Request option when creating new work items.
Generate Story or Backlog Item
When a request has been approved to move forward with new development, you can create a backlog item to implement the request.
To generate a backlog item from a request:
- Click the hamburger menu
> Product > Requests.
- Select Generate Story from the Edit action menu to the far right.
- Enter field information on the Backlog Item Details page.
- Choose a save option (see below).
Generate Portfolio Item
When a request has been approved to group a set of stories or child portfolio items at a higher level, you can create a portfolio item to implement the request.
To generate a portfolio item from a request:
- Click the hamburger menu
> Product > Requests.
- Select Generate Portfolio Item from the Edit action menu to the far right.
- Enter field information on the Portfolio Item Details page.
- Choose a save option (see below).
Generate Defect
When a request is determined to result from a defect in the system, you can create a new defect to implement the request. Matching defect attributes are auto-filled.
To generate a defect from a request:
- Click the hamburger menu
> Product > Requests.
- Select Generate Defect from the Edit action menu to the far right.
- Enter field information on the Defect Details page.
- Choose a save option (see below).
Generate Issue
When a request identifies an issue for the team, you can create a new issue to implement the request. Matching issue attributes are auto-filled.
To generate an issue from a request:
- Click the hamburger menu
> Product > Requests.
- Select Generate Issue from the Edit action menu to the far right.
- Enter field information on the Issue Details page.
- Choose a save option (see below).
Save Options
After generating an associated asset, you have several options for saving the data:
- Save: Save the new asset and return to the Requests grid.
- Save & New: Save the new asset and open a new details window to generate a second asset to be associated with the request.
- Save & Close Request: Save the new asset and close out the request. Closed requests remain in the system. To view all closed requests, click Filter and select Show Closed Requests.
- Save & View: Save the new asset and open the Detail page for the associated asset to make updates.
Troubleshooting
Why can't I generate a story from a request?
Generating assets from requests requires Edit access to the project. If the Generate Story option is not available in the Edit menu, verify your permissions with your project administrator.
Why don't all request fields transfer to the generated asset?
Only matching attributes are auto-filled when generating assets. Some request-specific fields may not have corresponding fields in stories, defects, or issues. You can manually update the generated asset details before saving.
Can I generate multiple stories from one request?
Yes. Use the Save & New option to create multiple related items from a single request. Each generated asset maintains a relationship link back to the original request.
What happens to the request after I click "Save & Close Request"?
The request status changes to closed and it's filtered out of the default Requests view. The request remains in the system with all relationships preserved. Use the Show Closed Requests filter to view closed requests.
